The Pavilion Management Company Limited is exempt from having to register under the Data Protection Act, as it only holds data for fiduciary purposes and is also a non profit making organisation.
Whilst the company is not formally obliged to register, the Management Team have a policy to ensure all personal contact details held on it’s shareholders for fiduciary purposes are in a secure place and only accessible to the Management Team. Paper copies are held in a locked safe and electronic records are password protected. The contact details of shareholders are not shared with any third parties, other than those to facilitate electronic communication.
All shareholders have voluntarily agreed to be communicated by electronic means to reduce the work time for volunteers and the cost of communications.
The shareholders’ contact details held on file are only those required for the management team to be able to make contact with a shareholder, by telephone, mobile phone/text, Royal Mail, electronic mail or via their nominated agent.
